Payment Terms

To confirm and book a trip, Client must submit in advance:

  • A fully completed Trip Questionnaire
  • A non-refundable Itinerary Design Fee payment to Icaterina
  • A completed copy of the Terms and Conditions (T&C) signed only by the Client

Upon receipt of Trip Questionnaire, Itinerary Design Fee and signed copy of T&C, Icaterina will make best efforts to attempt to secure and propose the requested itinerary on behalf of its Client.

A 500,00€ non-refundable Itinerary Design Fee to Icaterina will be required to secure your reservations at the time of booking.

Some suppliers (i.e. hotel, airfare, train tickets, museums, ...) require a deposit at the time of booking confirmation. The payment of this deposit will be asked to be payed by the Client/Traveler in advance to guarantee the booking.

The remaining balance of the Travel Package and Services will then be due 90 days prior to departure. If booking within 90 days of departure, full payment is due at the time of booking. If we do not receive any payment due in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out below will become payable.

We reserve the right to refuse a booking without giving any reason and shall in that event return any Itinerary Design Fee received.

Once a booking has been confirmed to us, we will change the booking’s status from “provisional” to “confirmed” on condition that we have a non-refundable Itinerary Design Fee and a completed copy of the T&C signed only by the Client.

While we do accept major credit cards including Visa, Mastercard, American Express and Discover, travelers must provide to us a click or signed authorization for every transaction for your trip.

Icaterina only accepts payments in EURO (€) currency by Bank Transfers, PayPal or link payment, prearranged between the parties. Payments with credit card are accepted and a commission between 1,5 and 3% will be added depending on country and credit card company.

The account details for Bank Transfers will be provided from time to time.

Client is liable for all bank and related transaction charges.

Airfare and train tickets quotes are estimates only and are subject to change until the ticket is issued. Certain operators/suppliers quote rates in foreign currencies and as these rates fluctuate relative to the Euro, all quotes prices are estimates only. The final invoice will reflect a tour price based on the then current exchange rate. The balance of payment is due no later than 90 (ninety) days prior to commencement of your travel arrangements. If the reservation is made within 90 days of arrival, full payment will be required in order to secure reservations.

Itinerary Design Fee and Final Payment:
  • The 500,00€ Itinerary Design Fee (deposit) is kept as credit and it is non-refundable*.
  • If the trip will be confirmed, the deposit will be deducted from the the total cost at the payment of the balance.
  • The remaining balance of the Travel Package and Services will then be due 90 days prior to departure. If booking within 90 days of departure, full payment is due at the time of booking.

Cancellations & Changes by the Client

  • 90-61 days prior to departure = 50% credit. Only 50% of the final payment cost will be reimbursed*.
  • 60-36 days prior to departure = 70% credit. Only 30% of the final payment cost will be reimbursed*.
  • 35-0 days prior to departure = 100% of the Icaterina Package and Services is non-refundable.

* less any non-refundable expenses. (In case of cancellation, non-refundable prepaid expenses associated to the trip such as tickets or fast track entrance fees to sites, shows, experiences or transport that require advance-purchase, 100% cancellation fee may apply. Accommodation reservations and airline tickets are subject to the properties and carriers’ refund policies). Suppliers may choose to offer a travel credit in lieu of monetary refund. We are not liable for a supplier’s failure to provide a refund or for supplier insolvency or bankruptcy.

Please note that in the case of cancellation of one or more travelers, trip cost will vary accordingly and may incur additional costs for the remaining travelers.

“Days Prior to Departure” calculation is based on the date of receipt of a written notice. The cancellation notice can be sent via email to info@icaterina.com.

There are no exceptions to our cancellation policy. It is for this reason that Icaterina highly recommends cancel-forany-reason trip insurance at the time of Itinerary Design Fee. No refunds are made for unused meals, services, or lodging.

Changes made after Itinerary Design Fee may incur additional fees to be determined at the time of the change.

Concierge Services while in Italy

Clients are kindly reminded that any on-site concierge additions, once a trip has begun, may incur a 50,00€ change fee in addition to the cost of the added services or activity. This includes requests made to our 24/7 emergency number.

General Company Terms & Conditions

All Reservations booked through Icaterina are subject to the following T&C:

The following outlines the T&C associated with any booking you make through us. Please read all of the T&C carefully. The T&C below along with our privacy policy and any other documents that we provided to you and the terms of the suppliers of the travel services constitute the entire agreement between the parties (hereinafter the Agreement). Please be aware that these T&C contain waivers of liability as well as waiver of class action and venue selection and notice clauses. By booking a tour with us, you are agreeing to be bound by the Agreement. From time to time, we may make changes to the T&C, which changes are effective immediately. You agree that you will be bound to the T&C that are in effect at the time of your travel. The booking of the trip can't be completed without a T&C agreement signed by the Client only.

The parties agree that the terms "we", "us", "our", and “Icaterina" refer to Icaterina Srls.

The term "you" “participant” “client” or “customer” refers to the customer booking a reservation through us and all the members of your group. Reference to “Independent Operators” and “Service Providers” means all third parties who provide services to you including airlines unless otherwise specified.

You must not make any booking with us unless you are at least 18 years of age and possess the capacity to enter into a contract. By making reservations for anyone other than yourself you represent that you will inform that person(s) about the Agreement along with the T&C and obtain their consent to be bound by the Agreement. You confirm that all of the information that you supply to us regarding yourself and other members for whom you make reservations is true, complete, and accurate and that you are not making any reservations for an unaccompanied minor. By booking with us, you are agreeing to be financially responsible for the bookings that you or anyone under your direction or control makes.

Booking on behalf of others:

By booking on behalf of other participants, you are deemed to be the designated contact person for every participant included on that booking. This means that you are responsible for making all payments due in connection with your Icaterina booking, notifying Icaterina or your travel agent if any changes or cancellations are required and keeping your party informed.

By booking on behalf of another person or persons, you represent and warrant that you have obtained all required consents, and for sharing these T&C with all members of your party. You are responsible for verifying that any information you provide on behalf of another participant is complete and accurate and the Icaterina will under no circumstances be liable for any errors or omissions in the information provided to complete a booking.

Credit Card Payments:

Your authorization is an agreement for us to charge your card and an acknowledgement and agreement to these T&C including the cancellation terms. As such you agree not to make any improper chargebacks.

In certain cases, you have the ability to dispute charges with credit card companies ("chargebacks"). Before initiating a chargeback, we ask you first to call us to discuss any questions or concerns about our charges. We will work with you in attempting to resolve your concerns. By using our service to make a reservation, you accept and agree to our cancellation policy. Icaterina retains the right to dispute any chargeback that is improper. If the Client/Traveler initiates an improper credit card chargeback, the Client/Traveler consents to jurisdiction of a Italy court, agrees to waive the right to a jury trial, and shall be responsible for all costs of collection, including attorneys’ fees and cost. Additionally, in the event of an improper chargeback, we retain the right to cancel any travel reservation related to that improper chargeback. The following chargeback scenarios are improper, and we retain the right to investigate and rebut any such chargeback claims:

  • Chargebacks resulting from non-cancellable reservations, whether or not the reservation is used.
  • Chargebacks resulting from charges authorized by family, friends, associates or other third parties with direct access to your credit card. This does not include credit card fraud.
  • Chargebacks arising from inconsistency or inaccuracy with regard to the supplier’s product description.
  • Chargebacks resulting from force majeure or other circumstances that are beyond the control of Icaterina or the Supplier.
  • Chargebacks resulting because you do not agree with the cancellation policy.

Responsibility/Liability:

Icaterina act only as booking agent with respect to services provided to the Client/Traveler, included but not limited to hotels, villas, b&b’s, restaurants, wineries and cooking schools, and any and all forms of transportation provided by or from various independent overseas ground operators, and all other services providers. (the “Independent Operators”). Each of these Independent Operators has its own management and procedures, and is not subject to the control of Icaterina. Client bookings are accepted by Icaterina solely as agent for the Independent Operators Icaterina is not affiliated with any other tour operator. All Independent Operators are independent contractors, and are not agents or employees or representatives of Icaterina.

  1. Although Icaterina has made its best efforts to choose the best suppliers available, it does not control the Independent Operators.
  2. Icaterina deals with third party operators that sometime can experience problems in vehicle breakdowns, lack or damage in the air conditioning during excursions and/or at hotels, loss of power, etc. Also, changes in the details and timing of an itinerary can vary from time to time, depending on weather, conditions prevailing and facilities available.
  3. Icaterina and the Client are independent contractors. Nothing herein or in the activities contemplated by Icaterina Srls and the Client hereunder shall be deemed to create an agency partnership, employment or joint venture relationship between either party, the Independent Operators, or their representatives.

All tickets, receipts, coupons, and vouchers are issued subject to the T&C specified by each supplier, and by accepting the coupons, vouchers, and tickets, or utilizing the services, all customers agree that they are subject to that suppliers T&C and that neither Icaterina, nor its employees, agents, or representatives are or may be liable for any loss, injury, or damage to any tour participant or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of Icaterina. Icaterina assumes no responsibility or liability for any delay, change in schedule, loss, injury or damage or loss of any participant that may result from any act or omission on the part of others; We will provide you with the T&C of the suppliers for your trip. Please read any and all terms as it will be your responsibility to be familiar with the T&C of any and all suppliers for your trip. Icaterina accepts no responsibility for lost or stolen items. In light of the foregoing, Client has voluntarily entered into this agreement on behalf of him/herself and any minor children traveling with him/her.

Force Majeure: Icaterina assumes no liability for, any loss, damage, delay, or cancellation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, volcanic eruption, hurricane, environmental pollution or contamination, inclement weather, earthquake, low or high water levels, flood, water or power shortages or failures, tropical storms or hurricanes, riots or civil commissions or disturbances, and any other acts of a similar nature, sabotage, arrests, strikes or labor disruptions, restraint of rulers or peoples, expropriations, acts of terrorism, war, insurrection, quarantine restrictions, government health advisories, epidemics, pandemics, or warnings or alerts of any kind of nature, government seizures, refusal or cancellation or suspension or delay of any government authority or any license, permit or authorization, damages to its facilities or the travel supplier and its facilities, or any other unforeseen circumstances or any other factors unforeseen by Icaterina that impacts negatively on, or hampers, its ability to fulfill any of its contractual conditions. In the circumstances amounting to force majeure, we will not be required to refund any money to you, although if we can recover any monies from our suppliers, we will refund these to you without any charge by Icaterina.

Release of Liability: All travel includes risks. In fact, part of the excitement of any journey is derived from the risk involved. By booking a trip with us you are acknowledging that there is risk involved and that you accept these risks.

Additional risks and dangers may arise including, but not limited to, hazards of travel by train, automobile, motor coach, aircraft and other means of conveyance, animal interactions, forces of nature, political unrest, other unrest, risks associated with water, food, plants, insects and differing animal regulation, and acts of national and local governments and unrest and acts of others against governments. These risks are not an exhaustive list but are examples of many kinds of risks. You are voluntarily participating in these activities with the knowledge that there are significant dangers involved, and you hereby agree to accept any and all risks. As lawful consideration for the agreement with Icaterina to participate in such trips and activities you agree you will not make a claim against Icaterina, its related companies or its personnel or sue for bodily injury, emotional trauma, death, property loss or damage or other loss, cost or expense, however caused, as a result of or related to your contracting for, traveling to or from, or in any and every other way participating in the trip. You release Icaterina, its related companies and its personnel from any and all claims, known or unknown, arising from contracting for, traveling to or from, and in any and every way participating in a trip. This release of liability and assumption of risk agreement is entered into on behalf of you and all members of your family and party, also including minors. This agreement also binds your heirs, legal representatives and assigns.

Where the guest occupies a motor coach seat, or any vehicle seat, fitted with a safety belt, neither Icaterina nor the Operator nor its agents or co-operating organizations or service providers will be liable for any injury, illness or death or for any loss or damages or claims whatsoever arising from any accident or incident, if the safety belt is not being worn at the time of such an accident or incident. This exclusion and limitation of liability shall not be used to imply that the Operator or its agents or affiliated entities are liable in other circumstances.

Icaterina reserves the right to accept or decline any passengers from either participating or continuing on any of our tours.

Land, Sea and Air Transportation

Carriage by land, sea and air is subject to the T&C of the carrier with whom you travel and to international conventions, which may limit liability. Land, sea and air travel are also subject to operational decisions of carrier and air and seaports which may result in cancellations, delays or diversions over which Icaterina has no control and for which Icaterina, Inc. accepts no liability whatsoever. Temporary or permanent loss of baggage is the responsibility of the carrier and the Client/Traveler.

Italian immigration requires foreign Citizens to present a valid passport upon entering the country. The passport must be valid for at least six months beyond the intended period of stay in Italy. If a participant is unable to obtain travel documents or is prohibited from entering the destination country, our standard cancellation policy will apply, and we will not be responsible in any way.

Non-U.S. citizens should contact the embassy or consulate of their destination countries to ensure they meet specific entry requirements. In some countries you may be subject to entry (reciprocity) fees and/or departure taxes/ exit fees which will be collected at the airports upon entry/departure by local government authorities. These are your responsibility. Please note that entry to any country may be refused even if the required information and travel documents are complete.

United States Citizens do not need a visa to visit Italy for less than 90 days; however, United States Citizens may need to procure a visa if their stay will exceed 90 days or if the visit is for a purpose other than tourism, such as educational or religious reasons. You can obtain a visa at a regional Italian consulate office by submitting the appropriate supporting documentation for the specific visa you are applying for, as well as a visa application form, recent passport-sized photo, your passport and payment for any applicable fees. Non-U.S. citizens should contact the embassy or consulate of their destination countries to enquire about visa requirements.

Each traveler is responsible for having the correct entry documentation.

Travelers are reminded to ensure that the name on their passport is an exact match with the name on their airline ticket. Airlines cannot accept tickets issued with names incorrectly spelled under any circumstances and passengers will be denied boarding. If name on ticket is spelled incorrectly, a new ticket will need to be purchased and applicable refund charges will apply. Icaterina is not liable and will not be responsible to Client if Client provides inaccurate or incomplete passenger data.

No travel is without risk. While we will advise you of known travel risks and travel advisories that are in effect for your destination, you should take steps and are responsible to be aware of any travel advisories or travel warnings, including COVID 19 requirements, that are in effect at the time of travel and prepare according inly. The ultimate decision on where to travel is up to you. Should you choose to travel to a destination when warnings and advisories are in effect, we will not be liable for any personal injury, loss, theft, or damages of any kind that result from travel to any such destination.

Health: Recommended inoculations and health requirements for travel may change and you should consult your doctor for current recommendations before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip.

Disinfection: Most countries reserve the right to disinfect aircraft if there is a perceived threat to public health, agriculture, or environment. While this is not a common practice, we want you to be aware that it is a possibility.

This process includes the following: (1) spray the aircraft cabin with an aerosolized insecticide while passengers are on board or (2) treat the aircraft's interior surfaces with a residual insecticide while passengers are not on board.

Cancellation by Icaterina

Icaterina will not cancel a tour, holiday or other travel arrangement once the client has paid in full unless it becomes necessary to do so as a result of a group tour that does not have the minimum number of required participants.

In the event of any cancellation by Icaterina, the Client will be informed without delay and Icaterina will make every effort to offer suitable and comparable alternatives.

Responsibility

The responsibility of Icaterina and/or its agents is limited. Icaterina hereby gives notice that it acts only in the capacity as an agent of the tour participant in all matters, including payment connected with lodging and meal services, sightseeing tours and other suppliers of service and transportation. If it becomes necessary or advisable for any reason whatsoever to alter the itinerary or arrangements, such alterations shall be made. Should a traveler be removed from a trip, they will not be refunded any unused portions of the Vacation Package and Services provided by Icaterina.

They may also be subject to any cost differential the remaining travelers might incur due to the traveler’s removal.

Removed Traveler will also be responsible for the costs/expenses associated with making new arrangements related to returning home and/or other travel arrangement changes. Icaterina’s obligations with respect to any funds received shall be those of a debtor and not a trustee. Icaterina reserve the right to cancel your trip and resell your space if your final payment has not been received by the due date.

Each participant is expected to act responsibly and adhere to all behavior guidelines established by Us and by any or our Providers. We and our Providers reserve the right to remove you from any trip if you endanger yourself or others or disrupt the general well-being of the trip itself. In any such case, there will be no refund.

When you book with us, you accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be paid direct at the time to the accommodation owner or manager or other supplier. You must indemnify us for the full amount of any claim (also including legal costs) made against us. Icaterina is not responsible for any costs incurred concerning a guest removed from a vacation. Guests agree not to hold Icaterina liable for any actions taken under these T&C.

Changes to the Itinerary

Icaterina and its providers reserve the right to make additions and deletions as believed advisable or necessary for the well-being of the traveler in their sole discretion. Tour Guides are not employees of Icaterina. While we try to limit changes to the itinerary, changes may be made due to national holidays, closure of certain sites, emergency or safety concerns of participants or Force Majeure events. This list is exemplary and does not include every reason for which we may choose to make changes to itineraries. Changes made by us or a supplier shall not be cause for cancellation or refund.

Insurance

We strongly recommend that Travelers take out fully comprehensive travel insurance to cover any cancellation fees, loss or damage to baggage and personal possessions. It is very important that you take this out at time of booking. Although the Icaterina team endeavors to ensure that your trip runs as smoothly as possible, not everything is within our control. Icaterina requires that all Travelers be covered by travel insurance, including emergency medical evacuation coverage. In addition, we strongly recommend the purchase of additional cancel for any reason coverage.

Participants with Disabilities

It is essential that you advise us before booking if you have any disability or pre-existing medical condition which may affect your trip, or if you have any special requirements as a result of any disability or medical condition (including any which affect the booking process) so that we can assist you in considering the suitability of the arrangements and/or in making the booking. Full details must be confirmed in writing at the time of booking and whenever any change in the condition or disability occurs. We will make all reasonable efforts to accommodate requests, but cannot be responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the guest requiring the accommodation. Please note that accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act and may not have wheelchair accessibility.

Unfortunately, neither Icaterina nor our suppliers can provide additional assistance for those who require it. Participants who require additional assistance due to pre-existing medical condition or disability must confirm at the time of booking the name of their non-discounted travel companion who will be responsible for providing assistance.

Special Dietary Requirements

For safety and liability reasons, Icaterina and its representatives cannot be responsible for directly accommodating any food allergies, or dietary requirements and restrictions, and is not responsible for any issues or problems associated with the same. All scenarios and special dietary requests regarding food and drink, including allergies, or dietary requirements and restrictions, are the sole responsibility of the participant. While most meal establishments can offer general options, Icaterina cannot guarantee that options will be available.

Accuracy of Printed and Online Material

We make every attempt to be accurate in our printed materials whether online or on paper, however on occasion errors do occur. When you receive any printed material from us including itineraries, tickets, vouchers, etc. please check them carefully for accuracy and inform us immediately of any changes. Notifying us of such errors is your responsibility and will assist in a smooth tour. Icaterina is not responsible for any typographic or printing error in any brochure, itinerary, confirmation, or related material. We also reserve the right to make changes to any typographical errors including pricing errors and may adjust the price of your trip accordingly.

Use of Your Photograph or Likeness

Icaterina may take photographs or video of its trips. Trip participants grant Icaterina permission to do so and for any photographic, film, video likeness, or audio recordings of participants while on tour to be used by Icaterina for promotional or commercial use without any notification or compensation to the participant.

Enforceability

If any portion of this agreement is unenforceable, the remaining portions shall remain in full force and effect.

Jurisdiction and Applicable Law/Waiver of Class Action/Limitation of Damages/Notice

These Booking Conditions and any agreement to which they apply are governed in all respects by the laws of the state of Italy without regard to conflicts of law principles. Any claims must be made in a court of competent jurisdiction located in Rome - Italy. You agree that you will only bring claims against Icaterina in your individual capacity and not as a plaintiff or class member in any purported class action or representative proceeding. Icaterina shall not in any case be liable for other than compensatory damages, and your payment of a Itinerary Design Fee on a trip means that you agree to these conditions of sale and expressly waive any right to punitive damages. All guest claims must be submitted in writing and received by Icaterina no later than ninety (90) days after the completion of the Icaterina vacation. Guest claims not submitted and received within this time shall be deemed waived and barred.
